Community Use of Schools is an initiative by the Ministry of Education that supports affordable access to school space outside of school hours by not-for-profit community groups.

The Board's Rental Office coordi​nates the use of schools for community groups in conjunction with the local municipalities where the schools are located as established through the Municipal Reciprocal Agreement. Through this agreement, the Halton District School Board's Rental Office works with the local municipality to coordinate the use of school facilities for community groups.

If you are interested in renting one of our schools, your first step is to contact the local municipality.  If, after contacting the local municipality you would like to rent one of our facilities, see below about 'How to Rent a Facility'. In order to ensure all community users have fair and equitable access to our schools, usage priorities have been established. 

The Halton District School Board offers a user friendly online reservation process, with access to a listing of available facilities:

  • Create an account. If you're an existing user, login using your previously created account.
  • Choose a facility that will suit your group's needs. The online reservation system provides access to school facilities across the Region of Halton such as gymnasiums and cafeterias.
  • Once the Rentals Office has reviewed your application and it has been approved, a permit will be electronically issued.  

During the school year, hours of availability are Monday to Friday 6 p.m. to 10 p.m. and Saturday and Sunday 9 a.m. to 5 p.m. For summer availability and hours of operation, please contact the the Board's Rental Booking Department at rentals@hdsb.ca

Summer permit review begins February and ends in mid May.

All users must:

  • Be at least 18 years of age.
  • Have a valid email address to set up an online account.
  • Register a valid Visa or Mastercard to cover applicable fees.

Organizations must:

  • Provide their valid Certificate of Liability Insurance with a minimum $2 million per occurrence. The Halton District School Board must be added as an “Additional Insured".​​

Individuals must:

  • Individuals who are not part of an organization may be able to purchase liability insurance through the HDSB (eg: a few people renting a gym to play basketball). The cost of the insurance will be added to your permit. Please contact the Rental Department for more information.​

Rental Rates for September 1, 2024 - August 31, 2025

In order to ensure all sectors of the community have access to facilities on an equitable basis, usage priorities have been established. Schools have exclusive use of their facilities Monday to Friday until 6 pm. If school space is not required after 6 pm by the school staff or students, it will be available based on the following factors:

  • HDSB rental processing timeline
  • User Group category
  • Order of receipt

Rental rates are based on the User Rental Categories.  All rates and fees are subject to change.

Hourly Rental Fees (GST not included)

Commercial and Non-Halton Groups - Business Meetings/Events, Condo Associations and Organizations outside of Halton

  • Elementary Forum: $88.05
  • Elementary Gym-Single: $143.00
  • Elementary Gym-Double: $220.00
  • Secondary Cafeteria: $220.00
  • Secondary Classroom: $44.00
  • Secondary Gym-Single: $154.05
  • Secondary Gym-Double: $319.10

Other Halton Community Groups – Groups not eligible to book space through the local municipality
To qualify for this Halton Rental Category, the permit holder (individual/group/organization) must have a Halton Address.

  • Elementary Forum: $ 44.03
  • Elementary Gym-Single: $71.50
  • Elementary Gym-Double: $110.00
  • Secondary Cafeteria: $110.00
  • Secondary Classroom: $ 22.00
  • Secondary Gym-Single:  $ 77.03
  • Secondary Gym-Double:  $159.55


Halton Registered Non-Profit* or Charitable** Community Groups (Non-Municipal)
To qualify for this Halton Rental Category, the permit holder (group/organization) must have a Halton Address.​

*Canada Not-for-Profit organization number assigned by the Government of Canada (a 9-digit number followed by RC0001) is required to access these rates.

**Charity Registration Number as assigned by the Canada Revenue Agency (a 9-digit number followed by RR0001) is required to access these rates.​

  • Elementary Forum: $ 31.70
  • Elementary Gym-Single: $ 51.48
  • ​Elementary Gym-Double: $ 79.20
  • Secondary Cafeteria:   $ 79.20
  • Secondary Classroom:   $ 15.84

  • Saturday Flat Rate Open/Close Fee = $154.56
  • Saturday Hourly Custodial Rate = $51.52
  • Sunday Flat Rate Open/Close Fee = $206.07
  • Sunday Hourly Custodial Rate = $68.69

Facility rental rates are subject to change.
Field rentals are booked via the local Halton municipality. Field rentals do not include access to school buildings. Rental contracts are for use of facility space only. Furniture and equipment not included unless noted on permit.
