  1. Welcome - Vivek

    • Meeting started at 6:31 PM. 

    • Deepak introduced himself as the School Council Secretary.

    • Vivek confirmed that he is serving as Chair for his third and final year.

    • Oya was not in attendance.

 

  1. Treasurer Report – Sarah Reid

    • The Treasurer reported approximately $11,000 raised through the Hero Burger program. 

    • The Treasurer reported approximately $8,000 was raised through Korean BBQ Wraps. 

    • Council discussed the ongoing importance of lunch programs as a major fundraising source.

  2. School Updates – Principal Update

  • There is currently no school re-organization planned for West Oak Public School. 

  • The school currently has 621 students, with 18 new registrations since September 8.

  • The Code of Conduct was reviewed as an important framework for maintaining a safe, caring, and inclusive school environment.

    1. The Code of Conduct is developed from the Ministry of Education’s Provincial Code of Conduct (PPM 128).

    2. All members of the school community have a responsibility to understand and adhere to the standards.

    3. The Code of Conduct includes standards related to behaviour, safety, and shared responsibility, including responsibilities of the school, students, and parents/guardians.

  • Other protocols staff are trained on include the Discriminatory and Harmful Language Protocol, Anti-Hate Response Protocol, Suicide Prevention & Life Promotion Protocol, and Sexual Assault Disclosure Guide.

  • The front matter of the curriculum includes responsibilities for students, staff, and parents/guardians.

  • Parent engagement includes attending parent-teacher conferences, supporting learning at home, and participating in school events and/or School Council.

  • The school is following up with families regarding consistent lateness and absences. Parents/guardians are responsible for ensuring students attend school regularly and on time.

  • Attendance requirements under Ontario’s Education Act, were discussed, including the requirement for parents/legal guardians to ensure children ages 6–18 attend school unless an official exception applies.



  1. School Updates – Teacher Update

 

  • Extra Curriculars currently running include:

    • Junior Boys and Girls Basketball are underway.

    • Cross Country is complete.

    • Concert Band has begun.

    • VEX is up and running.

    • The Terry Fox event is scheduled for October 14.

    • Grade 3 and Grade 4 field trips are planned.

 

  1. Council Discussion 

    • Open House BBQ on October 8, 2026

      • Council reviewed volunteer and set-up requirements for the BBQ.

      • The volunteer form will be checked to ensure there are enough volunteers.

      • Three tables are required for set-up.

      • Ten student volunteers are needed.

      • A cash box is required.

      • Snacks will be sold at the event on a cash-only basis.

      • Announcements should be made approximately 30 minutes before the snack sales.

      • Sarah Reid will speak with Leanne regarding the cash box.

 

  • School Lunch Programs

    • Council confirmed that there are enough volunteers for the lunch program.

    • Council discussed the timing for selecting future food programs and whether selections should be made by email.

    • Council discussed getting input from teachers about the food program.

    • If the Korean BBQ Wraps are not successful, council may consider whether offering a choice would be a better option.

  • Fundraising

    • Jenn will take the lead on planning the winter fundraising event.

    • Wolfpack Jam was discussed as a potential fundraising/event option.

    • A PIC representative may be needed if the current representative is unable to attend.

    • Mabel’s Labels was discussed as a possible fundraiser; Jenn will organize.

    • Planters through Terra were discussed as a holiday fundraiser. 

 

  • Library Fundraising 

    • Council discussed the library fundraising campaign and the need to determine the amount raised to date.

    • Leanne will be asked for the current amount raised.

    • Another communication/blast will be sent to families to encourage donations.

    • The donation link can be included in the WAG email.

    •  Chapters was discussed as a source/option for supporting the library.

 

  • Parent Involvement Committee (PIC)

    • Council discussed meeting with the Principal and School Council Chair.

    • Council discussed to purchase Treats with PIC funds. 

    • A possible PIC-related activity/initiative was discussed for 9:00 AM; details were not finalized in the notes.

    • Council discussed asking about setting up Square for payments and will ask Leanne. 

 

  • Other Fundraising / Events

  • Council discussed Movie Night as a potential future event, with Film.ca identified as a potential resource.

  • Council discussed other possible fundraising opportunities for the school year.
